Box and FileShare to SharePoint Online
Introduction
Our client, a leading healthcare provider, was facing the challenge of managing their corporate data that was dispersed across two different environments – Box and a file share solution. However, the company was already using Microsoft 365 plan. The customer didn’t want to compromise user comfort zone, adaptability, compliance, and security. Moreover, having multiple vendors for services which are already available in Microsoft 365 was not wise. The company approached Verticiti to plan and migrate the data to SharePoint Online and OneDrive while ensuring compliance and security.
Challenges
The client faced several challenges when migrating its corporate data to Microsoft 365. Firstly, the company needed to assess and validate the environment for its file share and Box cloud drives to ensure a smooth transition. Secondly, the Client was particular about maintaining the permissions when migrating from Box to SharePoint and OneDrive. Lastly, Client wanted to ensure that its staff was trained on Microsoft 365 cloud services to ensure maximum productivity and efficiency.
Solution
To address these challenges, Client engaged Verticiti to migrate its data to Microsoft 365. Verticiti followed a four-stage process that included assessing the current environment, designing the migration plan, implementing the migration plan, and managing the post-migration activities.
During the assessment phase, Verticiti validated and evaluated the current configuration of Client’s file share and Box cloud drives. The provider also reviewed the Active Directory and Azure Active Directory synchronization to ensure that identities and permission groups could be migrated appropriately.
In the design phase, the provider worked with Client’s project team members and stakeholders to design an Office 365 – SharePoint Online site environment. The provider also mapped the content from the origin to the destination folder to the SharePoint Online architecture, created a change management plan, and finalized the migration process.
In the implementation phase, our engineers assigned and provisioned OneDrive for Business accounts, performed test migration to ensure process optimization, remediated test migration findings, and finally migrated Box drives and file share home drives to SharePoint Online and OneDrive.
In the management phase, our engineers tested and validated the migration, and Client tested and validated the user experience. We also finalized the migration and reported success metrics. Additionally, Verticiti trained Client’s staff on Microsoft 365 cloud services, including security and compliance best practices.
Results
The delivery was successful, and the customer was very much satisfied with the migration as well as switching to Microsoft 365. They were also trained in Power Platform and its advantages. The migration to SharePoint Online and OneDrive provided seamless integration with all Microsoft 365 services and ensured compliance and security of the migrated data. The customer didn’t compromise on user comfort zone, adaptability, compliance, and security.
